ADMIN ONLY: You must be an Admin to create a new workflow for your organization. You can tell if you have Admin privileges because you will have the Company menu option in your profile. If you are not an Admin, please have an Admin for your account contact support@sitecompli.com.
Workflows are customizable groups of tasks related to larger projects or objectives. Workflows allow you to standardize your team's operations, ensuring that the right processes are followed every time a job is assigned.
You can create customized Workflows specific to your organization and your needs, or use readymade InCheck Templates as a starting point for industry-wide best practices.
Overview
To create a new Workflow, navigate to the Standard Operating Procedures page:
- Click Standard Procedures on the left-hand menu
- Click Create a Workflow
- Click Create from Blank Template to create a new Workflow from scratch
- Click Select next to an existing Workflow in the Library to create a Workflow from a template

- On the Details Tab:
- Create or edit a title and description for your new Workflow
- Add any relevant tags
- Click Next
- On the Tasks Tab:
- Click Add Task to add new Tasks to the Workflow
- Add any additional Task information
- Assign the Tasks to the appropriate Role, User, or Team
- Select the Task type and add any task dependencies needed
- Click Next

- On the Triggering Tab:
- OPTIONAL: Set up automatic scheduling or triggering
- Click Add Related to add related items to the Workflow
- Click Next
- On the Scope Tab:
- Select properties (and units) this Workflow should be available for
- Toggle Workflow to Published
- Click Create
Your new custom Workflow is now added to your Workflow Library and can be triggered by anyone on your team.

Reviewing your Workflows
Please visit the Standard Operating Procedures page here to audit your Workflow(s).
You can click on the numbers underneath the Times Run column to view the triggered workflows and see what properties these workflows were triggered for:
Task Types
Task Types require specific actions to happen in order for the Task to be completed. Using Task Types in your Workflows allow you to have more oversight on the work that needs to be done at your organization.
- Standard Task: No specific action is required to complete
- Photo Task: A photo must be taken or attached to the Task before it can be completed
- Signature Task: A signature must be acquired or attached to the Task before it can be completed
- Inspection Task: An Inspection must be completed before the Task can be completed
- Preventive Maintenance Task: A Preventive Maintenance Inspection must be completed before the Task can be completed

Task Dependencies
Sometimes a specific Task in a Workflow needs to be completed before another Task can begin. You can build this into your Workflow by using Task Dependencies that will lock a Task until another task is completed.
To add a Task Dependency to your Workflow:
- Click on the Tasks tab while in Workflow Creation wizard
- Click Add Dependency beneath the Task you want to lock
- Select the Task that needs to be completed prior
TIP: Have several Tasks in a Workflow that can only be completed in a specific order? Make each Task dependent on the Task that must be completed right before it.
Scheduling
Scheduling allows you to automate recurring work so it's automatically assigned to the correct people when the work needs to be done.
Scheduling can be incorporated as part of the Workflow creation process, and it can be used to automatically trigger new Workflows based on:
TIP: Workflow Tasks need to be assigned to a specific role, team, or individual in order for automatic triggering to work.
Frequency-based Triggering
Triggering Workflows based on a specific frequency are good solutions for work that need to be assigned on a recurring basis like every month or annually.
To schedule a Workflow based on a determined frequency:
On the Triggering Tab:
- Select On a schedule
- Select the Frequency and Start Date/Time

Date-based Triggering
Triggering Workflows based on the last completion date or expiration date are good solutions for work that needs to be completed on a specific date or a certain time period after the last time the work was done.
For example, you can assign work based on the expiration date of documents or the last time something, like an inspection, was completed in InCheck.
To schedule a Workflow based on a date of an item:
On the Triggering Tab:
- Select On an event
- Click Add Event Trigger
- Select the type of event and the date field that should be recognized for the trigger
- Select the trigger date for the Workflow

Event-based Triggering
Triggering Workflows based on the occurence of a new event is a good solution when work needs to be assigned in reaction to items like a tenant request. Event-based triggering will automatically trigger a new Workflow whenever the selected event occurs.
To schedule a Workflow based on an event:
On the Triggering Tab:
- Select On an event
- Click Add Event Trigger
- Select the type of event that should trigger the new Workflow

Bulk Triggering
Bulk Triggering allows you to assign the same work to multiple buildings, units, or assets at the same time by triggering separate Workflows for each item.
You can schedule Workflows to be triggered on a regular basis or trigger workflows manually when unexpected events arise.
For example, you can schedule annual grounds inspections across your entire portfolio, or you can manually trigger a workflow for snow storm preparations for specific buildings when it's needed.

- On the Scope tab:
- Select if the Workflow should be triggered for:
- All properties
- Specific Property Groups
- Specific properties
